I'm using PT Accounting 2004 - when I issue an invoice for an inventory item I notice that in my Materials Receivable account two SJ entries are made, one is as a Debit and the other as a Credit for the amount of the invoice. When the customer payment is recieved, one Cash Receipt Journal entry is Credited, balancing out the SJ Debit. However, the second SJ Credit is carried forward, causing my Materials Receivable account to be negative.

What is the "materials receivable" account used for?

couple things to check. On the inventory item - what accounts are being used for income, inventory and cost of sales?

On the invoice - what account is in the A/R account and what account is being hit for the inventory being sold.

If you can't see the G/L accounts on the invoice, go to Options, Global and uncheck the Hide G/L account check box for accounts receivable.

Thank you, Lisa_p; your queries helped me find the issue. The G/L account on the invoice had been incorrectly set for the Training Materials Receivable (A/R) instead of the Training Materials Sales (income) account. You wouldn't believe how much time I (a non-accountant) spent pouring over the G/L details. Thank you again. (This forum is great!)
