View Full Version : new vendors picking up old transactions

We had a problem were vendors disappeared from the system last month after moving the database to a new PC (using backup/restore). Now, when we create new vendors, they pick up the transactions from the old vendors-

example- vendor ABC disappeared from the system last month- now we add vendor XYZ and when we run a vendor ledger report, the transactions for ABC appear under XYZ.


Any idea how to fix this ?

Peachtree does not store vendors by VendorID. It uses a unique index instead. Let's suppose some glitch caused the Vendor record for a particular vendor to go bad or get deleted. Then Peachtree would not see that vendor any more, but all the references to the vendor index in the journals would still be there. Now suppose you add a new vendor - Peachtree doesn't see the previous vendor index, so it adds the new vendor with the index of the record that was corrupted. Now all the transactions for the corrupted vendor will show up under the new vendor.

To really repair your database would first require a detailed analysis of the information, which you would probably have to pay someone to do. However, there may be a simple workaround. When you discover that a new vendor has inherited the data for a vendor that has disappeared, delete all transactions for the new vendor then rename the VendorID to the old vendor name. Finally, create a new vendor with the new name and re-enter your journal records.
