View Full Version : Does opening a past due invoice cause changes upon printing?

We finalized the first quarter profit statement and our inventory/cost of goods sold at the beginning of last week. Yesterday, in order to print several past due invoices to mail, I got the message 'You are about to modify a transaction that is not in the current period, do you want to continue?' every time I tried to print. I said 'yes' as I was not modifying anything, merely printing a copy. However, this morning our figures from the quarter end reporting are off by several hundred dollars. When I printed invoices from January and February, did Peachtree update the background accounting, applying the new/now current cost of goods sold to prior sales?
I hope not, but am at a loss to account for the change in the figures any other way.
Thanks for any help/advice,
Pam

When you edit a Sales Invoice from any period, you are effectively unposting all aspects ofthe document including the Inventory Cost of Sales. Upon re-printing the document, the program then reposts all accounting elements related to the transaction, including the Cost of Sales. When it is necessary to reprint an Invoice, you can do so, without any accounting impact, by clicking on Reports - Accounts Receivable - Forms etc. On the filter screen you will have the opportunity to list the individual or range of invoices etc that you want to print.

Thank you so much - it's too late to undo all I've done, but at least now I know how to print past due invoices going forward. Your explanation on how to do this without accounting impact was very clear. I have made copies so we can refer to it next time this comes up.

Using this method, it looks like I can only PRINT an invoice from another period (without changing the background information). Is there any way to simply OPEN the past due invoice and not have to print it first? I would also like to have the option of only e-mailing it, but this feature does not seem to be working (I selected this option from the E-mail tab, but it brings up the printer and even if I print, nothing is e-mailed.) Help?
Thanks, Pam
