View Full Version : Can't delete job cost records

Using Release 9: for years I have been unable to delete very old job cost records and thus considerably reduce the size of my data files. The system, even after closing the FY, insists there are journal entries that use the particular Job IDs, but I can find none of these. The system shows the totals for each cost code as a balance forward from past FYs even though these jobs were long ago marked "Inactive". Can anyone suggest a solution to this problem?

Theoretically, you can purge INACTIVE Jobs following the successful removal of all transactions associated with it. The purge process that would allow Jobs to be removed was improved with Peachtree 2003 or Version 10.0. You could not purge Jobs in Peachtree 2002 or Version 9.0 and earlier despite the suggestion that you should be able to. This was at the time a documented bug.

In current versions, we further recommend the removal of the Job tie to a Customer ID prior to running the PURGE process.

Maintain - Jobs - select the JOB ID and remove the reference to the Customer ID and Save.

There has been a problem with purging jobs since it was first introduced. Never found a straight answer as to why some and why some would not.

I voluntarily retired from home building two years ago, but am continuing to do part-time design and consulting for others so am keeping the company open. Since the volume of my data entries is now very small, I see no point in upgrading my Peachtree since doing so offers no benefits to me.

I think the simplest thing to do may be to recreate my company with a different data file name, and enter starting balances with the new fiscal year beginning June 1st. This will greatly reduce my 7 mb data files.

A Company database the size of 7MB is neglibile. An average Peachtree database size is around 50 - 75MB in size. Today's hard drives are so large that they are measured in GB's with 1024MB's = 1GB. Peachtree can manage an unlimited number of companies, so if your new company will use a different fiscal year then you can copy the first company's Chart of Accounts and default settings (with NEW Accounting Periods) during the New Company Setup. You can further export your Customers and or Vendors from the 1st Company and import them into the new Company without balances.

I just looked at your reply, and appreciate the feedback. Based on what you wrote, plus my own experimentation, I decided that creating a new company is not worth the saving of a few seconds creating backups as well as some disk space.
