View Full Version : Deleting Inventory Items

I'm using Peachtree Complete 8. I'm not only new to PT but also to accounting as well.

Here goes:

Whenever I try to delete an inventory item, the following message appears: Cannot delete inventory item [inventory item name] because there is a journal entry that uses that item.

I try to delete the items by going to Maintain.....Inventory Items. At the next window I type in the item ID and press enter. The item appears. When I click on the Delete Button I receive the above mentioned message.

My question: Where is this "journal entry"? Can I delete it? or adjust it?

According to the Peachtree's Help Window:

"To delete an inventory item, it cannot be associated with any transactions in the system. You must post the journal that uses this inventory item before you can delete it. Then wait until a year-end closing purges the journal entry."

Would this help me?

I would love to delete all these items in one shot. But I can't even delete one.

If let's say, these items are in an opened year old invoice somewhere, can I adjust it, to look like it's been paid?, then go ahead and delete the item. Or should I just make them all inactive. There is about 100, maybe more items.

You have to do what Help says. They can't be deleted
untill they are in a closed period and then you purge.
When you purge you lose your history of closed invoices.
The only thing you can do for now is make them inactive.

First you must find out where that inventory item is called out.-- i.e. where it is purchased on a purchase order, adjusted into inventory or where it was sold on an invoice -- use the "FIND" function to locate. Any of those common transactions will result in journal entries that will not allow you to delete the item. After you find it, you have to decide if the entry was "in error" or "valid". If it was in error, you can delete the transaction if it's in an open year. If its not in an open year or if the transaction was valid, you may just want to make the inventory item inactive. You certainly want to keep your books as correct as possible.....

"Just in case" - I had gotten the same message, while trying to delete "fake" items I had just set-up.

The trick is, I had assigned fake "Beginning Balances" to these fake items, a qty that the system did something with, and I had to go back into Beginning Balances, change the 9,999,999.00000 back to zero (and the system did its thing again) and I was then able to delete the items.
