View Full Version : Job Costing with Phases and Codes

OK, I have set up my Jobs, my Phases and my Cost Codes.
I have indicated for certain Jobs those Phases I will be using on that Job.

An Invoice now arrives and I want to split the amount between Phases on that Job. We do not use Purchase Orders and go directly to "Purchases/Receive Inventory".

I CAN code the Job. I CANNOT code the Phase that is again a split amongst the many Phases for that Job.

All documenation says I can but nowhere does he say how.

If, when selecting the job you want to code it to, the job appears as a folder, you need to double click the folder to display the phase and cost codes.

Also, make sure in the Maintain Job form you checked "Use Phases".

I did all that before my posting. Then, with your confirmation, I went back and did it again. Here's what happened.

I was practicing with the last job in the list. When I doubled clicked on the folder nothing appeared to happen. In fact, the phases opened up but I needed to use the scroll bar to see them (whereas, I thought, the folder would auto-expand). So, it works as I thought and as you outlined.

OK, one more question. I only indicated certain phases when I set up the job. I want to ASSURE that costs only get assigned to those phases. Yet, when doubling clicking the folder when entereing invoices, it gives me all phases to choose from. Anything I've missed re: security, job set up, etc. ?

Hello Garyoke,

I am using an older version, but I think that this part has not changed... There is no way to assign certain phases to a job. Every phase is always available to every job. In addition every cost code is always available to every phase. With that in mind, take care when creating your phases and cost codes or you will not have fun coding your entries.

Something that you might want to consider is to only and always job cost certain GL accounts, such as all of the COGS and Inventory type of accounts. That way you can compare the total job costed amount for a certain period against the total associated GL accounts for that period to verify that all items that should have been job coded were in fact job coded.

Nick is correct in that there is no way to restrict the phases to a job. As far as PT is concerned, any job that uses phases can use ANY phase. Similarly, any phase that can use cost codes, can use ANY cost code.
