View Full Version : PR Cks show up as $0 Deposits in Reconciliation

PCA 2004, SR1, Build 11.0.01.033

Every time I write payroll checks, an entry for each check shows up in account reconciliation under deposits and credits.

The amount is always $0, but I can't understand why they are showing up there... I clear (check) them, and they stay cleared...

Kinda odd - any ideas?

Sounds to me as if one of the detail lines of the paycheck is also posting to your cash account, but with a zero amount, so you're not seeing any effect on the pay check.

I'll check that out - have to go through all the employee pay fields and make sure that none of them have the cash account listed, and all the default taxes and deductions?

It just started doing this after upgrading to 2004...

I'll figure it out... Might be back for more ?'s...

Yes, that's the first thing that I'd check.

Don't forget that you can drill down to that transaction by double clicking on the reconciliation entry, see the check and then use the "Journal" (accounting behind the scenes) window to see where the entry comes from.

Well, I found it. I had made a field, "Advance" for if employees needed an advance before payday - I had the Cash Account in the GL Field... So every check that DIDN'T have an advance posted a $0 amount to reconciliation of that account.

What account would go in GL for that? Wages Expense? Seems right, but not being an accountant, I'm not sure when that amount would be adjusted out of that account... Probably need to read the help a bit better to see how to enter and account for Payroll Advances!

Payroll advances should post to a Payroll Advances account, which should be an Other Current Assets account...you'll post a positive number to this account when you pay the advance out, and a negative amoun to the account when you deduct the advance out of a future payroll check.
