When receive inventory, we close the PO. Whenever someone inquires regarding this purchase, the PO automatically opens. Is there any way to stop this? We have the same problem on SO's. Open PO's & SO's make using the purchase module impossible to manage the inventory.

I don't understand exactly what you are experiencing. If you can provide a more clear picture of your problem, the steps you are taking that causes the problem and your version of Peachtree, someone might be able to help.

When we receive inventory, it is typically for about 70% of a given PO. The other items are back-ordered or non-active and therefore cancelled. We then close the PO. Later on when the bookkeeper records the invoice payable to the vendor, this opens the PO again. Every subsequent time that invoice is opened for inquiry, the po is automatically opened without the user knowing it. When I run the Inventory reorder worksheet, it will show all of the open PO's unreceived items as on-order, when in fact they have been cancelled.
Same goes for sales orders for items we did not receive. The sales order reopens upon inquiry of the invoice & the items that we never received & therefore never invoiced appaer on the inventory reorder worksheet as Sales BO's.

I have never run in to this problem, once I close a PO or SO (even with items remaining that did not come in or ship) it stays closed. Are you actually going to the PO or SO, checking the 'close' box and saving it? Why would you need to continue to open the invoice? What version Peachtree are you using?

I'm using Peachtree complete 2004.
I'm going to update to 2005 since it has some features I have been looking for:
create PO from SO; Automatic PO creation based upon minimum inventory stock, etc.
Perhaps the problem will go away with the update.

You need to receive the merchandise in through Purchase/Receive and then close the PO. I just went through a couple of test scenarios and it only reopens the PO if I resave the purchase. If I open the purchase to just look at it and close without saving it didn't reopen.
