Can't access the database

I just installed peachtree 2010. All the Crystal reports were made in Crystal Report 9. Now when I try to make some changes or run from Crystal report is asking for password. I tried giving access to only one user or give access to anyone. Always is asking me for password.

Can somebody help me.

Thanks

Luis

In Peachtree 2010 and Crystal 2008, you must first set the Peachtree Security for Crystal Reports to ANYONE (initially, you can change it back later).

Follow these simple steps to update your report data definitions:

Install the new version of Peachtree. (You do not have to install a new version of Crystal Reports for Peachtree.)

In Crystal Reports, open any of your custom Crystal report files (RPT).

Make sure they are saved to your new or upgraded Peachtree company data directory (for example, \PROGRAM FILES\SAGE SOFTWARE\PEACHTREE\COMPANY\<COMPANY>).

If you installed the new version of Peachtree in the default directory (\PROGRAM FILES\SAGE SOFTWARE\PEACHTREE) or installed Peachtree in the same location as the previous version, your custom reports are most likely saved in the correct company data subfolder.

If you installed the new version of Peachtree to a new directory, copy or save your customized Crystal reports to the new company data subfolder.

With your customized report open in Crystal Reports, choose Verify Database from the Database menu.

Crystal Reports may display a series of Directory error messages. To continue, click OK in answer to each of these.

If Crystal Reports displays Please give location of Info view or dictionary used to create this report, click OK. The Choose Database File window appears. Select Crystalreports.udl (located in your new Peachtree company data folder). For example, select \PROGRAM FILES\SAGE SOFTWARE\PEACHTREE\COMPANY\<COMPANY>\CRYSTALREPORTS.UDL.

Crystal Reports may identify data definition changes associated with your report design and ask if you want to update your report. For example, if your report lists employee names, you may receive the message, The database file "Employee" has changed. Proceeding to fix up the report. Click OK to each of these data definition messages.

Repeat steps 5 through 7 until you get a message that the database is now up to date.

Click OK and the desired report appears in Crystal Reports.

Save the updated report.

Repeat steps 4 through 10 for each of your customized reports. Once you have updated your reports, they will open normally from Peachtree and Crystal Reports.

Note: You will need access to the Peachtree company data from Crystal Reports to perform the steps listed above. If limited access has been set up for accessing company data from Crystal Reports through Maintain Users, only the person with access to the company data from Crystal Reports can perform these steps.

If you have restricted Peachtree to allow only one user in Crystal Reports, then in Crystal Reports when it prompts for a password, use 'crystal', without the quotation marks.

Hi Rick,

I seem to be having a similar problem, only it is affecting my crystal reports made in CR 2008 as well. I posted this in the Crystal Reports part of this forum before seeing this thread.

I have done as you said above. On some, I had to set datasource location first. The data is on my main computer, but people access it from other computers as well. I tried using my mapped drive as well as direct address to the c drive. I also tried the relative address. The database seemed to update, but then still asks for the password 3 times. Nothing seems to work. I have used blank, 'crystal', and the passwords of different users.

The errors are "failed to retrieve data from the database" then "data/object cannot be opened/accessed" then "logon failed" then repeated with "Details: cannot open .\JrnRow.DAT "

My secretary called PT support and they said someone would call back in the next 48 hours on the escalated case. They also want us to do a peachtree password retrieval session with them. I wonder if that is necessary?

I found the CrystalReport.udl file and tried to check the blank password box and the save the password box. The test connection succeeded, but the CR did not seem to access data any better.

Prior to starting, I also downloaded and installed SP1 and SP2 because trying to access CR from inside PT, I got an error message saying I needed to update. I also rebooted after these to no avail.

Thanks for any help.
I am wondering if I need to uninstall PT 2010 and reinstall 2009 and have all of Monday's entries redone. I hope not!

Thanks,
Chris

If you should uninstall anything, then it would be Crystal 2008. Upon reinstalling CR2008, you should be prompted to download CR Service Pack 1. Then attempt the CR conversions by again, setting your Peachtree Security for Crystal Access to ANYONE and then access one CR report via the Peachtree Menu and follow the steps to verify the database and to change the data source location. This is a Crystal interface problem and not a Peachtree data problem.

Rick,

You hit it with this one. This came up in the help section at one point:

Starting in Release 2010, we have changed Crystal reports to use the OLEDB driver instead of BTrieve to connect to our database. You may need to update your report manually to keep your existing reports working. Please click Help for details.
Release 2010 and beyond connect Crystal Reports to Peachtree using a different driver, the OLE DB driver.

Do NOT attempt to create new Crystal Reports using the BTrieve folder in the Database Expert or using FILE.DDF. You will encounter errors and not be able to create reports successfully.

If you receive any errors with your existing reports or cannot connect to your existing reports, use the following steps on each report to change the method that Crystal uses to connect to Peachtree.

Open the report in the Crystal Report Designer. Go to Database > Set DataSource Location.
Select Create New Connection on the bottom pane and click OLE DB (ADO) to open the folder.
Check the Use Data Link File checkbox.
In the Microsoft Data Link File field, click the browse button and locate the CrystalReports.udl file, which is in your Peachtree Company's folder (for example, Company\BCS\ for the Bellwether sample company).
Help me find my company folder.
In Peachtree, select Maintain > Company Information.
The location of your database is listed in the Directory field.
Click Next, then Next, and then Finish.
On the Set DataSource Location dialog box, just below the Make New Connection option on the bottom pane, there is now an entry for your company. Select it and click the Update button.
Close the dialog box, and then refresh the report, by clicking Report > Refresh Report Data.

So, for final resolution, we had to do the following:
1. try to open a crystal report in Peachtree (we usually don't do this)
2. Download and install 2 service packs. This seemed to be the only way I could get links that worked to get the service packs.
3. Open a report in CR and use the set Datasource as you said above.
4. Save report.

Thanks Rick for all the help,

Chris
